    POSITION DETAILS

    Queensborough Community College invites applications for the position of Administrative Events Specialist.

    Reporting to the Director the Administrative Events Specialist, in addition to the duties listed in the CUNY title Overview, will:

    Maintain a database of perspective clients for marketing and promotional purposes

    • Field rental inquiries and show spaces to perspective clients

    • Collect and maintain accurate records of rental fees, deposits and outstanding balances

    • Coordinate proper staffing of events to include security personnel, maintenance, volunteers, and house management as required

    • Participate in planning and progress meetings and be responsible for the progression of planning process

    • Generate weekly event schedules, and maintain event calendars

    • Interact with various departments to secure requested locations

    • Process room reservations and maintain an updated reservations log

    • Provide social media support through Facebook, Twitter and Constant Contact

    • Distribute events to local newspapers

    • Gather and organize information to gauge performance against goals

    Evening and weekend presence as required.

    QUALIFICATIONS

    Bachelor's Degree and four years' relevant experience required.

    CUNY TITLE OVERVIEW

    Plans and manages special events, seminars, and conference services programs.

    • Works collaboratively with campus departments and executives, student groups, and outside organizations to develop and plan special events and programs.

    • Plans event logistics and secures contracts and agreements.

    • May coordinate reservations and availability of internal campus facilities.

    • Creates and executes event communications, including invitations, agendas, and marketing information.

    • Coordinates services related to events (i.e., equipment, catering, audio-visual requirements, media coverage). May hire and supervise staff assigned to event.

    • Creates fiscal records and reports; evaluates overall event success and reports to management.

    • Maintains ongoing communications with campus departments involved in events planning and execution.

    • Performs related duties as assigned.

An employee who needs to request an exemption from the required enrollment in the HIP HMO Preferre~~~ employee,oreligible dependent, mustmeet certain criteria and the requestmust be approved by EmblemHealth before the exemption is granted. The HIP HMO Opt-Out Request Form and HIP service area are available on the EmblemHealth website.
